Job Purpose:

 

The key responsibility is to ensure efficient management of company facilities and liaison with internal and external stakeholders.

 

Job Context & Challenges:

 

Overall responsibility of General Administrative services including Cafeteria, Security, Facility Management, Stationery & Dispatches, Teleservices (Phones), Transport / Lease Cars, Travel desk, Guest Houses / Service Apartments, Contract Labour/Vendor Management, Statutory Compliances, Employee Access & Support, Company Event Management & Celebrations, Company Medical Officer / Dentist, Approvals, Permissions & Licenses etc. Continuous interaction with multiple stakeholders internally as well as externally is critical to ensure efficient and ethical services.

 

Key Accountabilities:

 

  • Project Management: Lead the design & execution of renovation of CP India Head office. 
  • Change Management: Support and drive Cost Efficiency Projects; identify potential opportunities /Projects E.g. building renovations plans, expansion, improvements, savings proposals etc.
  • Facilities Management: Facility Building upkeep; administration, Building Management System; Maintenance, Housekeeping ; Security services
  • Fleet Management –Company Buses & Fleet of Cars: Transport Management – Company Buses, Fleet Management – Company Leased Cars & Pool Cars-putting proper systems in place-managing co drivers duty allocations
  • Guest House Management: Managing GH Bookings & Operations – Dealing with GH Contractor- Caretakers
  • Maintenance of AV Equipment’s / Mobiles / Telephones / Fax: Guest House Management (CPIL), Procuring of Equipment as and when required, Liasioning with Vodafone /MTNL for all service issues
  • General Administration: Liaison with Govt., Police & Local bodies, Vendor / Supplier Management, Statutory Compliances
  • Annual Task / Special Projects: Managing Annual Tasks/Events – AGM arrangements / Diwali Distributions / Celebrations
  • Other Admin Services: Administration of cafeteria operations, Company Medical Officer / Dentist, Courier Services & Dispatches, Travel Desk & support services, Company Stationery.
  • Working on office space optimization, redesigning projects etc. 

 

Experience:

 

  • Essential: Worked in a similar capacity in a large organization (at least 500 employees) catering to internal and external stakeholders.
  • No. of yrs of Exp required: 10 years min.

 

Professional Qualifications & Training:

 

  • Essential: Graduation preferably commerce / engineering
  • Desirable: Post Graduation in Business Administration / Ex-serviceman
