JOB SUMMARY
Colgate-Palmolive is pleased to invite applications for the Administrative Assistant position reporting into the VP and General Manager for the Central America region. This role will primarily support the VP & GM and also support extended members of the Leadership Team (Finance & HR), with general administrative duties such as meeting planning, reporting, events and travel.  

The Administrative Assistant will provide support to the VP and General Management, Finance Director and Human Resources Director by solving daily administrative tasks at a practical level in accordance with internal policies and procedures, serving as a link between the executive and other related departments and countries. 

The position requires the individual to demonstrate a high level of initiative, good judgment and the ability to handle confidential information in a good way.  This role is recognized across the Company as an expert in the administrative field. 

 

Essential Functions

 

Meetings & Agenda

  • Coordinates the Master calendar for the GM and the whole organization
  • Coordinates the agenda and calendar  of the General Manager
  • Tracks and coordinates calendars for one or more individuals and schedules meetings
  • Provide administrative support for on site meetings to include meeting planning & logistical coordination with people from multiple locations and/or functions.
  • Provide meeting planning and logistical coordination for committees that VP & GM lead
  • May be required to be physically present to provide administrative assistance at off-site meetings

 

Communications

  • Communicate clearly and effectively in verbal, written and electronic media
  • Initiates and composes both routine (schedules, letters, memos, e-mails) and non-routine correspondence (surveys, minutes, project plans, announcements and continuous improvement ideas) with significant narrative
  • Creates and/or edit presentations including formats, layouts, and content with attention to details and minimal supervision
  • Influences presentation approach and plays a significant role in the development of the final "product" for department members
  • Independently responds to and follow-ups on request for information based upon acquired knowledge of department/area
  • Shares sensitive information with discretion and keeps others informed within department  Scanning/copying documents are done correctly for distribution

 

Reports & analytics

  • Compiles reports and/or information from internal/external sources which require research and knowledge of the organization (e.g. extracting information from intranet/internet to obtain relevant data for the department).
  • Purchase Orders.

 

Travel

  • Administration of Cytric Travel & Expense platform, users and other requirements
  • Frequently arranges international travel and coordinates travel arrangements for multiple individuals.
  • Prepares travel expense reports for VP and General Manager, Finance Director and HR Director on time and with minimal supervision

 

Other

  • Manage visa and other legal documents from the VP & GM
  • Manages multiple projects and events as needed by the VP and General Manager, Finance Director and HR Director
  • Supports the VP and GM (usually an expat)  in his/her personal needs, including family needs, related to living and working in Guatemala.
  • Takes initiative to simplify systems and processes to eliminate unnecessary work
  • Creates and uses informal networks to gain support and get things
  • Extreme sensitivity to confidentiality of data and information
  • Office supply management
  • Performs other duties as assigned

 

QUALIFICATIONS

  • Currently pursuing a degree in Business Administration, Marketing, Business, or a related field
     

Work Experience

  • At least 1 years as Administrative Assistant or similar positions

 

Knowledge, Skills and Abilities

  • Strong written and verbal communication skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and G Suite.
  • Excellent time management skills and ability to prioritize work.
  • Strong organizational skills with attention to detail.
  • Ability to handle sensitive information with discretion.
  • Manage multiple tasks and meet deadlines.
  • Work independently and as part of a team.
  • Adapt to changing demands and handle unexpected situations.
  • Strong problem-solving skills and decision-making abilities.
  • English intermediate - advance level.
