About the role:

 

Provides varied administrative support to the Vice President & General Manager of Andina and also to Heads of Marketing and Legal Departments, applying judgment and in-depth knowledge of organization and policies/ procedures. Administrative Assistant does planning with regard to agenda planning and management as well as own work.  Canalizes information during manager's absence and uses initiative and judgment to see matters requiring attention are handled properly. 

 

What you will do:

 

  • Manage daily workflow including calendars/schedules, providing administrative support to the team. 
  • Manage Team internal/external communications, including scheduling of leadership staff meetings and helping plan agendas based on participant feedback. 
  • Manage all aspects of the GM and (2) Directors travel and Expense reports
  • Facilitate and Maintain Departmental Expenses: Processing New Vendors, Purchase Orders(POs), Processing invoices, & follows up on missing payments
  • Manage and track bill-back budget, POs, and invoices
  • Support the Chairman of the "You Make a Difference" (Usted Hace la Diferencia) program, ensuring support for communication, recognition processes, and event coordination associated with the program.
  • Design and update presentations,spreadsheets and documents as required
  • Manage communities or network folders as needed for team projects, initiatives, and on-going networks
  • Manage agendas, confidential correspondence, and documentation.
  • Coordinate event logistic
  • Arrange hotel and transportation bookings and logistics for meetings with International Corporate visitors to Colombia

 

What do you need for this position:

 

  • Bachelor's Degree
  • Bilingual in english and spanish
  • At least 5 years of experience in similar positions
  • Excel Basic level
