The Administrative Assistant - Global Oral Care is responsible for providing administrative support to:

 

  • President, Global Oral Care
  • WW Director, Toothpaste and team
  • WW Director, Mouthwash and team
  • WW Director, CMI and team

 

Key Responsibilities/Accountabilities include:

Travel:

  • Coordinate travel arrangements and approvals for supported teams
  • Manage visa requests by supporting to secure required documentation

 

Email and Calendar Management:

  • Manage email and calendar for President, Global Oral Care
  • For President, Global Oral Care work with various Executive Assistants to coordinate schedules for various meetings
  • Track and consolidate team travel calendar

 

Meeting Management:

  • Facilitate department meetings and events (leadership, extended team meetings etc both on and offsite)
  • Provide comprehensive administrative support before, during, and after large conference meetings
  • Coordinate meetings with people from multiple locations for off-site meetings. May be required to be physically present to provide administrative assistance at off-site meetings

 

Expenses:

  • File expenses for President, Global Oral Care

 

NVO Monitoring:

  • Follow up on any expense items as deemed by Finance
  • Set up new vendors, process and track Purchase Orders and troubleshoot any issues in a timely fashion
  • Assist Finance to determine accruals needed and track accrual offsets once purchase orders are completed

 

Onboarding:

  • Coordinate logistics for new hires/transfers/STA/visitors set-up for supported teams  

 

Facilities and Logistics:

  • Interact with Facilities to ensure office supplies and equipment are in working order

 

Communications:

  • When required, initiate and compose both routine (schedules, letters, e-mails) and non-routine correspondence (surveys, minutes, announcements and continuous improvement ideas)

Required Qualifications:

  • High School Diploma or GED; Bachelor's Degree preferred
  • Minimum 5 years related administrative experience
  • Strong knowledge of MS Word, PowerPoint and Excel
  • Basic knowledge to interpret and analyze financial expenses
  • Knowledge of Google, Concur, eBuy as well as an aptitude to learn other programs required

  • Strong communication skills and ability to use sensitivity when handling confidential information
