The role of Senior Legal Assistant will provide professional support to the Legal Function at Hill’s.  The Senior Legal Assistant will be responsible for managing (a) general legal tasks for the Legal Function (mix of some administrative but mostly paralegal tasks), (b) initial drafts and circulating Corporate Governance documents, (c) billing, invoicing, matter management and assistance with contracts, (d) Sarbanes Oxley compliance tasks, (e) marketing-related activities and (f) additional duties as assigned from time to time.


General Coordination/Management - Legal Matters:

  • Assist with SOX Compliance

  • File Management (opening matters in Onit, filing executed contracts, pulling contracts for business partners when requested)

  • Various tasks to support attorneys and Division GC as required

  • Global Legal Meetings (monthly meetings, agendas, presentations, minutes, follow ups, Division meetings)

  • Hill’s Corporate Governance: Draft Board documents for various Hill's legal entities, partner with CP attorneys and/or outside counsel for drafting resolutions, proxies and minutes, arranging signatures and mailing, prepare request for approval of CP Subsidiary Action Approval for matters as required for that process., arrange notarization and arrange Apostille for international documents where required, update hCue database 
  • Contracts: Routing for signatures via Adobe Sign, managing standard contract renewals, drafting travel invitation letters, KTL Agreements


Marketing/Communications Review and Management

  • Maintains and regulates access to electronic files related to claims

  • Responsible for maintaining Legal and company files in relation to marketing, approved claims and claim support

  • Facilitates claims audit projects and transition of claims to Veeva platform

  • Works with Senior Counsel to review marketing materials for legal compliance with applicable federal and state advertising and promotion laws, regulations, guidances and decisions, including the National Advertising Division (US) and non-US self-regulatory bodies, and in line with company standards and approaches (NA and Global) or terms of use of social media sites. 

  • With Senior Counsel, serves as a subject matter expert on content, evaluating and identifying risk regarding advertising copy, labels, promotions, IMC, social, digital, etc. within context of current and new claims prior to attorney sign off

  • Reviews and clears new executions in line with previously approved claims.  

  • Supporting Senior Counsel, attends and contributes legal comments to project meetings 

  • Reviews and advises on marketing materials in BEAT and other review systems and platforms as needed, independently based on prior approved claims, or in consultation with attorney depending on the content

  • Assists business with independently applying legal guidelines and templates

  • Initial review of corporate communications material - including evaluation of legal issues associated with content

  • Performing additional duties as assigned from time to time

  • Undertakes legal and other research as required on projects



Education /Experience



Minimum education and experience requirements:  Bachelor’s Degree (marketing, business, communications or related field preferred) or paralegal certification.


Preferred education and experience requirements: Bachelor’s Degree + at least 1 year’s experience in a corporate legal environment or law firm supporting commercial, contracts, marketing or intellectual property function.

  • Ability to learn the product category and competitive landscape such that the knowledge informs analysis and decisions being made

  • Ability to learn and understand marketing legal issues, including claims, their support and potential for legal and business risk with understanding of regulatory framework for pet food

  • Excellent verbal and written communication abilities, ability to work independently and collaborate with all levels of the business and legal organization

  • Strong teamwork, interpersonal, and problem solving skills

  • Strong time management, ability to manage projects and task prioritization skills with the ability to multitask 

  • Good analytical/quantitative skills 

  • Ability to work in a dynamic, fast-paced environment in order to resolve issues 

  • Attention to detail and emphasis on consistency

  • Clear understanding of corporate governance requirements for global entities

  • Strong initiative and self-direction, curiosity and open to learning (growth mindset)
