Job Summary

The role of a Quality Documentation Specialist is to maintain the site document management system (DMS) against regulatory requirements and compliance with the Colgate Quality Standards. This role is also responsible for assisting the quality department in effective training, assisting with management of change process lifecycle (MOC), support documentation review for release (food safety, analytical, production records), complete release of production in SAP, and acting as a technical resource to resolve issues. The role is responsible for utilizing continuous improvement processes and implementation as directed of best practices.

 

 

Principal Duties and Responsibilities

  • Assist in identifying compliance issues which need correction or improvement for key Quality systems including but not limited to Product Conformance, Document Control / Record Management, Validation Program, Change Control, and Internal / External Audits. Oversee daily, weekly, monthly batching/production/packaging/food safety/analytical records and reports and ensure they are accurately maintained and reviewed for compliance both in hard copy documentation and electronic data capture systems.
  • Supports ensuring compliance checks are completed and conducts daily disposition and product release against the quality standards. The role also has support functions in hold process for quality issues.
  • Oversee Management of Change (MOC) system for change control including support on validation of change implementation. Includes management of updates to DMS / KQA´s  for quality electronic data collection due to changes in specifications, procedures, etc. Generate and maintain as directed Quality KPIs for holds, customer complaints, product & raw material non-conformances, training compliance, Good Documentation Practices, and MOC.
  • Maintains proficiency in SAP document lifecycle process flow and application for all site processes.. Must be able to respond to requests to quickly retrieve, send, route for approval, review, scan, and file site records procedures, and related Hill’s documentation.
  • Assist Quality Compliance TL / Quality Manager in preparing / conducting training, as requested.
  • Establishes a cross-functional partnership with other departments and functional areas to provide support for ensuring the achievement of the Quality department's goals.
  • Understands and is accountable for full compliance with safety and other EHS requirements

 

Education/ Experience Requirements

Basic qualifications include:  

  • Bachelor's degree

  • Understanding of cGMP’s 

  • Technical writing proficiency, excellent written and oral communication skills.

  • Working knowledge of business process systems such as: Microsoft or Google 

  • Ability to provide support on all shifts, including shifts and weekends as needed

 

Preferred qualifications include: 

  • Bachelor’s degree in Technical areas of: Food Science, Engineering, Chemistry, Biology or Microbiology 

  • 1+ years of quality department work experience in a food manufacturing environment. 

  • Previous auditing experience working with American Institute of Baking (AIB), Food and Drug Administration (FDA), United States Department of Agriculture (USDA), & Safe Quality Food (SQF) 

  • Practical knowledge of site wide documentation system management

  • Previous SAP experience

  • FSPCA Preventive Controls for Animal Food Certification (PCQI), knowledge of HACCP & SPC


Compensation and Benefits
Salary Range $60,000 - $71,000 USD

Pay is based on multiple non-discriminatory, individualized factors including but not limited to experience, job-related knowledge and education, skills and office/market location. In addition to base salary, salaried employees are eligible for annual discretionary bonuses, profit-sharing and, for Executive-level (salary grade 16 and above) roles only, long-term incentives in the form of Restricted Stock Units and/or Stock Options.

Subject to the terms and conditions of the applicable benefits plans then in effect, all salaried employees are also eligible for a competitive benefits package which includes:

  • Insurance: Employees (and their eligible dependents) are eligible to participate in Company-sponsored Medical, Dental, Vision, Basic Life Insurance, Accidental Death & Dismemberment and Disability insurance plans.
  • Retirement Plans: Employees are eligible to enroll in Colgate's 401(k) plan, which provides for company matching contributions subject to eligibility requirements
  • Vacation/PTO: Employees receive a minimum of 15 days of vacation/PTO leave annually
  • Paid Holidays: Employees receive a minimum of 13 paid/floating holidays annually
  • Paid Sick Leave: Based on location and consistent with applicable state and local law, employees receive a minimum of 40 hours of paid sick leave on January 1st of each year
  • Paid Parental Leave: Eligible employees may take up to eight weeks of paid parental leave and 12 weeks of unpaid leave (varies for employees with fewer than 12 months of service and is subject to hours worked requirements)
