The Colgate Legal Team is looking for a Legal Assistant with experience working in the patent department of a corporation or law firm. The desired candidate must have excellent communication skills (both written and oral), strong data analysis and reasoning skills, strong problem-solving skills, a desire to learn new skills and participate in new initiatives, and a strong proficiency in filing patent applications and management of patent portfolios. What you will do


  • Preparing and electronically filing new US patent applications (Provisional, Non-Provisional, Continuation, Continuationin-Part, Divisional, US National Phase, Design) at the USPTO.
  • Preparing and electronically filing PCT Applications using ePCT.
  • Preparing Declarations and Assignments, obtaining appropriate signatures,and filing the same at the USPTO.
  • Preparing and electronically filing Information Disclosure Statements at the USPTO.
  • Attending to payment of Issue Fees and other patent office-related payments at USPTO.
  • Preparing and electronically filing Corrected Filing Receipts, Corrected Application Papers, and Missing Parts.
  • Managing legalization of global patent documents.
  • Providing instructions to foreign agents on foreign patent formalities.
  • Assisting with the docketing of new deadlines from PAIR and the clearing of completed deadlines in the CPI patent database.
  • Assisting with audits of existing data in CPI and other patent databases.
  • Generating reports for patent attorneys and business partners, as requested.
  • Collaborating with internal and external business partners to acquire signatures on required patent & technology documents.
  • Providing systems training to business partners (i.e. IRIS, Clearance module, OARS).
  • Assist with development and deployment of patent operations & technology-related initiatives.
  • Administrative oversight of Virtual Patent Marking system.
  • Provide general support for external innovation legal team.
  • Performs other duties as assigned
  • Complies with all policies and standards


Required Qualifications

  • Bachelor's Degree
  • At least 1 year patent-related experience.
  • Extremely strong technology skills, including strong proficiency with Google tools (Doc/Sheets/Slides), Gmail & Adobe Professional


Preferred Qualifications

  • Interest, experience or coursework/degree in chemistry/biology, statistics, or basic computer programming (HTML, JAVA)
  • Interest, experience or coursework in developing automated patent process workflows and/or app building.
  • Interest, experience or coursework in leveraging AI and/or data analytics to review and manage patent portfolio and other technology-related databases.
