The role will provide administrative assistance as well as program/process coordinations to Hill’s Chief Veterinary Officer and EVP Global Growth and Innovation. The role will identify and execute new ways to help the assigned function(s) become more efficient and productive and will be responsible for maintaining a variety of departmental programs, processes, projects, and databases that require ongoing assistance.


Principal Duties and Responsibilities:

  • Provide administrative support, including group travel, organization of large meetings or events on and off site, agenda preparation, script/document creation and or editing, food and beverage, lodging, ground transportation, and troubleshooting issues, etc
  • Coordinate departmental programs and projects to ensure they meet timing, cost and specific deliverables/s within the supported function/s such as coordinating/assisting in production of select national & global Events, extended Leadership, GPVA & GGIT Meetings, and Global Town Halls/Calls.
  • Power user/ Google Guru for all systems/software used by functions (Google Drive Tools, Gmail, Google Calendar, Google Meet) in order to assist the department in leveraging technology to improve processes and projects.
  • Onsite coordinator of Hill’s global and select corporate sponsored events (GPVA & GGIT Meetings, Global Commercial Experience, HGS, WSAVA and other major US & global events) including scheduling, conference meetings, F&B, booth meetings (travel required)
  • Create purchase orders; reconciles discrepancies with invoices and follow up with external vendors as needed/subject matter expert and first point of contact for Ariba (internal system for purchasing and invoice processing)
  • Responsible for Expense reports, maintaining Concur invoicing and submissions for CVO & EVP GGIT. Maintaining calendar for CVO and EVP GGIT.
  • Coordination with global HR recruitment, compiling and distribution of new hire employee experience information packet (I-9 documents, Amex forms, payroll authorization)
  • Production assistant for Global Commercial Experience (scheduling recording sessions, coordinating between rehearsals, recordings, live events, food and beverage and off-site transportation) and other GGIT and GPVA events.
  • Creation of Overland Park HQ events to generate positive morale for employees (Hill’s events such as Halloween, global YCMAD, Christmas, Flash parties and anniversary/birthday celebrations)
  • Perform other duties as assigned
  • Comply with all policies and standards


Basic Qualifications:

  • Associate’s Degree 
  • 2+ years of relevant experience 


Additional Qualifications:

  • Bachelor’s degree
  • Previous experience in one or more Coordinator role(s) and/or Project Coordination role(s); Project Management Skills including organization, planning and execution
  • Significant experience using MS Office (Word, Excel, Powerpoint) OR Google Suite 
  • Experience with Database(s)

Compensation and Benefits
Salary Range $49,600.00 - $68,000.00 USD

Pay is based on multiple non-discriminatory, individualized factors including but not limited to experience, job-related knowledge and education, skills and office/market location. In addition to base salary, salaried employees are eligible for annual discretionary bonuses, profit-sharing and, for Executive-level (salary grade 16 and above) roles only, long-term incentives in the form of Restricted Stock Units and/or Stock Options.

Subject to the terms and conditions of the applicable benefits plans then in effect, all salaried employees are also eligible for a competitive benefits package which includes:

  • Insurance: Employees (and their eligible dependents) are eligible to participate in Company-sponsored Medical, Dental, Vision, Basic Life Insurance, Accidental Death & Dismemberment and Disability insurance plans.
  • Retirement Plans: Employees are eligible to enroll in Colgate's 401(k) plan, which provides for company matching contributions subject to eligibility requirements
  • Vacation/PTO: Employees receive a minimum of 15 days of vacation/PTO leave annually
  • Paid Holidays: Employees receive a minimum of 13 paid/floating holidays annually
  • Paid Sick Leave: Based on location and consistent with applicable state and local law, employees receive a minimum of 40 hours of paid sick leave on January 1st of each year
  • Paid Parental Leave: Eligible employees may take up to eight weeks of paid parental leave and 12 weeks of unpaid leave (varies for employees with fewer than 12 months of service and is subject to hours worked requirements)
