The Stock Plan Administrator (Executive Compensation), located in our New York headquarters, will  be responsible for the company’s global equity incentive programs. This role administers the company stock plans, prepares and provides information to stock plan participants, manages the processing of grants, award terminations, equity vesting, exercises, share pool tracking, etc. The position will maintain and update the stock plan administration platform, prepare reports and provide analyses and work on moderate to complex projects.The role will work closely with the extended Global Total Rewards team, HR Business Partners, Colgate Business Services, and have senior team exposure. 

 

What you’ll do

  • Lead equity administration including proactively managing the day-to-day and overall activities of equity compensation administration.

  • Prepare recurring and custom reports to support financial statement disclosures for SEC filings, including Form 10-K, 10-Q, and proxy statements, as well as any other ad-hoc reports.

  • Support development of materials for presentation to the Personnel & Organization (P&O) Committee of the Board of Directors, CEO, and senior leaders, including presentations related to equity plan design, plan outcomes and stock recommendations.

  • Partner with Payroll, Legal, Finance, and HR teams to design and develop equity communications, ensure on-going awareness and compliance with federal/state regulations and securities laws and work with international partners to ensure compliance with non-US rules and regulations.

  • Partner with 3rd party administrator, Finance, and HR Solutions to manage integrity of plan participant and equity data, ensuring information is up-to-date and accurate.

  • Process and monitor equity award activity, including grants and grant agreements, vesting of shares, award exercises, and employee terminations.

  • Regularly conduct audits, analysis, and reconciliations, working with large data sets, data edits and complex calculations.

  • Partner with Finance to forecast and budget equity compensation; provide equity-related reporting to support monthly financial close process and journal entries.

  • Work with internal and external audit partners, serving as the lead for equity-related requests; evaluate and respond to auditor’s inquiries.

  • Fulfill tax-related support requests to internal and external tax partners.

  • Implement best practices with effective SOX controls; maintain and manage equity- related SOX controls.

  • Evaluate changes in federal and state regulations and securities laws; determine impacts to existing processes and programs, and implement changes to ensure on-going compliance and efficient processes.

  • Ensure equity data integrity, reconciling records between Stock Administration, HR, and Payroll.

  • Provide excellent customer service to plan participants at all levels and to partners across departments and geographies and respond quickly to employee questions in a courteous and satisfactory manner, including training on equity topics.

  • Manage participant equity education materials maintained on the Company’s internal website.

  • Participate in or lead other projects as assigned.

 

Required Qualifications and Characteristics of Success

  • 5+ years stock administration experience in a U.S. public company

  • Very strong attention to detail and ability to perform self-audit to ensure data integrity and utmost accuracy at all times

  • Ability to work independently in a fast-paced environment and manage multiple competing priorities and deadlines

  • Collaborative, team player who is capable of communicating with individuals at all levels of the organization and maintaining professional composure  

  • Demonstrated strong proficiency in Microsoft Excel and Google collaboration tools 

  • Familiarity with U.S. GAAP accounting and SEC regulations as it relates to equity administration including ASC718

  • Strong analytical skills and the ability to draw conclusions from data

  • Complete work within deadlines

  • Strong interpersonal, oral and written communication skills

  • Self-motivated with a strong sense of personal accountability

  • Sound experience with using stock plan administrative platforms, such as Bank of America Merrill Lynch

  • CEP designation a plus


Compensation and Benefits
Salary Range $115.000,00 - $144.000,00 USD

Pay is determined based on experience, qualifications, and location. Salaried employees may also be eligible for discretionary bonuses, profit-sharing, and long-term incentives for Executive-level roles.

Benefits: Salaried employees enjoy a comprehensive benefits package, including medical, dental, vision, basic life insurance, paid parental leave, disability coverage, and participation in the 401(k) retirement plan with company matching contributions subject to eligibility requirements. Additional benefits include a minimum of 15 vacation/PTO days (hourly employees receive a minimum of 120 hours) and 13 paid holidays (vacation days are prorated based on the employee's hire date within the calendar year). Paid sick leave is adjusted based on role and location in accordance with local laws. Detailed information regarding paid sick leave entitlements will be provided to employees upon hiring and may be subject to adjustments based on changes in legislation or company policies.
