What you will do

  • Provides varied administrative support to manager or team under general direction and with minimum instruction. Plans own workload.
  • Screens and prioritizes mail and forwards informative materials to appropriate contacts.
  • Coordinates domestic and occasional international travel and transportation arrangements; completes travel authorization process and accesses emergency contact information for team.
  • Tracks and coordinates Google calendar for team members, schedules meetings and sets up video/audio/net conferences; demonstrates basic understanding of equipment in conference rooms and knows who to contact for technical assistance.
  • Provides administrative assistance for onsite meetings with people from multiple locations.
  • Prepares processes and follows up on expense reports, invoices, and requests for payment.
  • Orders supplies and demonstrates a basic knowledge of departmental budget when incurring expenses.
  • Applies intermediate knowledge of Company software packages, Google Suite. May enter and retrieve data from existing database systems. Utilizes Company intranet as well as internet for business relevant reasons.
  • Troubleshoots computer problems for self and/or contacts appropriate service personnel.
  • Composes routine correspondence; responds to and follows-up on requests for information based upon acquired knowledge of department/area; shares information and keeps others informed within department.
  • Creates formats, layouts, etc. for presentations.
  • Increasingly shares acquired skills and knowledge with team members; gives informal feedback.
  • Challenges status quo and champions new initiatives within scope of own job.
  • Demonstrates assertiveness (i.e. prioritizes workload to support multiple individuals).
  • Under general supervision, often participates in demanding, more complicated projects using basic project management skills. May be responsible for small parts of a large project, but is usually still part of a larger team effort.
  • Vendor management – manages all aspects of Uniform ordering, Vending machine contract, Office Depot, etc. – including vendor relationships, eBuy invoice processing, service, and cost management.
  • Plant Wide communication - responsible for daily updating of TV monitors & communication boards with KPIs and other critical plant wide information
  • Production Recordkeeping – manages daily production tracker, develops graphs & identifies production records for celebrations
  • Back-up support for Monthly Payroll process

 

Required Qualifications

  • High School Diploma/GED required (B.A./B.S. in HR, Education, Psychology, Business or related discipline preferred)
  • A minimum of 3 years of administrative experience required. Prior experience working in an HR environment preferred
  • Strong interpersonal and communication skills (written and verbal)
  • Proficient in Google Suite
  • Data mining and report generation ability
  • Maintains a high level of confidentiality
  • Knowledge of HR regulatory policies (i.e HIPPAA, EEOC, FMLA, ADA) required
  • Highly organized and detail oriented.
  • Self-directed with strong results-oriented attitude
  • Ability to initiate and develop long-term working relationships and networks.
  • Ability to adhere to all safety requirements and wear the proper PPE
  • Ability to multi-task several projects and responsibilities simultaneously
