Job Purpose:

The role will be responsible for leading all aspects of administrative duties related to office management and facilities, primarily, but not limited to handling 3rd party teams. This role is also tasked to be the primary lead for the company’s Occupational Health and Safety program as Safety Officer. Part of the official duties will be providing executive secretarial support to the Finance Director.


Major responsibility:

  1. Office management
  • Ensure accurate execution of work of the general services team including office supplies purchasing, inventory management, cost planning and monitor, mailing, receptionist, and documents storage;
  • Run day-to-day facilities maintenance and upkeep in coordination with Janitorial/facilities team
  • Actively liaise with the building administration for improvement and repair of facilities on day to day issues and concerns
  • Perform daily walk thru and coordinate immediate requirements/concerns on facilities-related items; ensure these are addressed based on agreed standard service levels.
  • Management of Company Leased Cars, including preventive maintenance and repairs of manteam cars
  • Other Ad-hoc administrative tasks assigned by Office Manager and provide back up as needed.


2) Safety Officer

  • Own the Occupational Health and Safety (OHS) Committee and complete regular DOLE reporting requirements;
  • Own the team in the implementation of OSH programs, and ensure compliance to both local and global requirements. Lead/participate in investigations as vital.
  • A trained Safety Officer at level 2 (based on DOLE requirements)


3) Daily secretarial duties to Finance Director:

  • Arrange Finance Director’s calendar and meetings, assist in travels and transportation.
  • Expense review management and submission.
  • Process expense related transactions for FD and centralized billings for Finance (specifically airline centralized billings i.e. PAL/Cebu Pacific) via ebuy or journal entries)
  • Manage related reports and documentations.
  • Provide logistics support to meetings/visits/workshops owned by Finance Department
  • Ad-hoc administrative tasks assigned by the Finance Director.


4) Company Storage Documentation

  • Act as main coordinator for company storage documentation, working together with various point persons in departments for storage filing and documentation.


Must have:

  • Education: Bachelor degree.
  • Experience: Must have 5+ years of experience in office administration, facilities and executive assistant work.
  • Experience or exposure to OHS is an advantage.


Knowledge & proficiencies:

  • Strong in planning, organizing and multi-tasking.
  • Ability to work independently
  • Strong collaboration, communication, and interpersonal skills
  • Excellent in coordination, project management and has knowledge on facilities management
  • Good in office applications/softwares, e.g. Gmail, Slides, Docs, Sheets.
