The Administrative Export Associate ensures that Hill’s Pet Nutrition Manufacturing is timely requesting export certificates for export to Non-EU countries. This individual is responsible for submitting, monitoring and forwarding the export certificates to the correct department in order to release deliveries. 


Focus of the role will include, but is not limited to, the following areas:


Documentation / Communication: Request the export certificates in the E-CertNL system of the NVWA (Dutch Food and Consumer Product Safety Authority) by timely entering the batch data and submission details in a web application. Interprets data, works cross-functionally and effectively communicates results to appropriate individuals, including management.


Regulatory compliance: Understands the regulatory context and compliance requirements for export certificate requests. Has the ability to appropriately interact with the governmental body issuing export certificates.


Food Safety Compliance: Understands the requirements that are provided for in the export (health) certificates and supporting documentation (Food Safety, Good Manufacturing Practices (GMPs), HACCP & prerequisite programs, etc.).

Continuous Improvement: Understands and anticipates changes to export certificate requirements. Seeks opportunities to improve the export certificate submission process and accelerate this process within set rules.


Principal Duties and responsibilities:

Processing and submitting export certificates in the E-CertNL system of the NVWA

Scheduling and prioritizing the export certificate submissions

Communicating with CS&L and warehousing team

Communication with QS/local team/manager

Sending out the export certificates to relevant parties (CS&L, customers)




Basic requirements include:

  • Vocation Education in Administration, Logistics, Export order processing or other related field (min. MBO)
  • 2+ years logistics experience
  • Working knowledge of export order processing and logistics, Food Safety, HACCP, prerequisite programs, GMP, Regulatory compliance etc.


Expected area of Skills:

  • Scheduling/planning and problem solving skills
  • Clear and effective communication in English and Dutch (writing and speaking)
  • Knowledge of supply chain: manufacturing, planning, warehousing, transportation
  • Ability to quickly learn and utilize computer applications, i.e. web applications, spreadsheets, SAP
  • Demonstrates the ability to manage and capture change in work processes
  • Flexibility in managing changes in schedules, order compositions
  • Ability to work under time pressure / meet deadlines


This position is a temporary part-time (0,5) position for the period of one year
