Job Summary

The Administrative Assistant is responsible for providing administrative support to the CBS Directors based in Mexico City and orientation, guidance and specific administrative support to all CBS employees in Mexico as well as international visitors.

 

Principal Duties and Responsibilities

-Maintains Director ́s calendars by planning and scheduling meetings, conferences, teleconferences and travels, using initiative and judgment to see matters requiring attention are handled properly.

-Provides administrative support to the Director's activities. Also, provide guidance and punctual support to Managers & other members of the team as needed, using judgment and knowledge of organizational policies/procedures.

-Coordinates travel and transportation arrangements for CBS MX Leadership team and visitors. (Airticket, Hotel, Car transportation).

-First point of contact for ARIBA, Expense Reports, Travel Requests, New Vendors for CBS MX Extended Leadership team.

-Creates and monitors purchase orders; reconciles discrepancies with invoices.

-Creates expense reports for CBS LT (on demand).

-Recommends and distributes site wide internal communications (e.g., Subs & Hubs mailings for holidays).
-Plans, coordinates and/or executes sitewide events and celebrations (e.g., CBS integration events, goal alignments, meetings, forums, townhall, CBS Intercom, technical training, international visitors sessions, etc.)

-Assists in New Employee placement and orientation. (GIT requests & Welcome kit).

-Monthly: keeps Business Continuity Plan list updated and maintains organizational charts updated.

-Point person for Expats and Visitors- Assists in Housing, Contracts, Car assignments, Banking, Club memberships, Personal Documentation, Moving, etc.)

-Coordinates Car Maintenance and Vehicle Verification appointments for Leadership team.

-Office supplies Management.

 

Education/ Experience

-Minimum education and experience requirements: Bachelor degree. 3+ years of experience supporting senior level management across different functions.
-Experience working with other professionals, such as University Administrators, Attorneys, Realtors, Suppliers and the Mexican Government.

-Proven experience planning and organizing group activities local and remotes.
-Excellent command of spoken & written English.

 

Preferred education and experience requirements:
-Understanding of SAP systems, CONCUR, ARIBA.
