The Executive Assistant for Filorga provides overall administrative support to the Senior Vice President, the VP Global Brand, the Management team and other respective teams where needed on various topics like travel arrangements, expense management and meeting coordination. This role will also manage the entire Car Fleet Management for France as well as certain General Service/Office Management related tasks.  The Executive Assistant must be able to work independently and autonomously in a very dynamic and agile environment. 

 

Key Responsibilities

  • Executive Calendar & Travel Management: 

    • Manage complex calendar scheduling, staying on top of meeting conflicts with proactive solutions, ensuring meeting room bookings as well as overall 

    • Manage domestic as well as international travel arrangements, accommodation, transportation for SVP and VP from an end to end standpoint including travel expense management 

  • Administrative Support - Vendor & Purchase Order Management:

    • Manage administrative tasks related to vendor creation and overseeing the accurate and timely creation of Purchase Orders

  •  Meeting and Event Management (e.g., IMC), Marketing Support: 

    • Oversee all aspects of meeting coordination, including managing calendars, arranging logistics for international conferences (like IMC), internal meetings, ensuring smooth execution in close collaboration with the respective teams (in France and internationally)

    • Support International Marketing Team on Coordination topics and ensure smooth and timely communication with countries and key stakeholders

  • Office and Car Fleet Administration: 

    • Manage the entire French Car Fleet and ensure smooth operations

    • Oversee general office management topics with external facility management provider (Sodexo) and archiving partner, including identifying and implementing cost-saving procedures, managing office equipment as well as free product reserve and allocation.

Required Qualifications:

  • At least 5 years as Executive Assistant in an international environment

  • Experience in management of large meeting logistics 

  • Fluent in English and French

  • Experience in Car Fleet Management is highly preferred
