Legal Operations Specialist

Location: Mexico City

 

 

Role Summary

 

Are you a tech-savvy finance or systems professional ready to power the digital evolution of a global legal team? As our Legal Operations Specialist, you will own the day-to-day administration of the Corporate Legal Budget, driving strict spend management, outside counsel electronic billing, and cross-functional payment workflows. Reporting directly to the CBS Legal Operations COE Team Lead, you will serve as a critical technical bridge, maintaining our SAP and Onit eBilling integrations while developing next-generation AI reporting dashboards. Responsibilities

 

  • Spend Tracking & Budget Administration: Partner with practice area teams to build, track, and analyze annual budgets and official estimates, proactively mitigating financial risks and identifying cost-saving opportunities.

  • Procure-to-Pay Oversight: Lead end-to-end vendor administration for outside counsel and third parties, managing purchase orders, monitoring monthly accruals, and resolving complex invoice workflows in SAP and electronic billing tools.

  • Systems & Integration Administration: Serve as the technical administrator for the GLO eBilling system, managing law firm onboarding, currency configurations, threshold routing, and system integrations with corporate Accounts Payable.

  • Cross-Functional Litigation Finance: Collaborate closely with global insurance providers, corporate personnel, and local counsel to reconcile defense costs, execute settlement payments, and guarantee proper financial allocation reporting.

  • Technology & AI Innovation: Identify, document, and test core system enhancements with managed service vendors while developing data-driven reporting dashboards and advising legal teams on enterprise AI tool adoption.

 

 

Required Qualifications

 

  • Bachelor’s degree in Business, Management, Computer Science, Mathematics, Engineering, or a closely related field.
  • Intermediate to advanced English level, both oral and written?  
  • 4+ years of hands-on experience utilizing SAP or equivalent enterprise resource planning (ERP) systems within a corporate setting.
  • 4+ years of professional experience managing specialized corporate electronic billing (eBilling) systems and automated payment integration tools.
  • Advanced proficiency in data analysis software, specifically featuring documented capabilities building pivot tables and writing complex financial functions in Microsoft Excel or Google Sheets.
  • Proven ability to work successfully within a dynamic, shifting technology environment while executing tight financial deadlines across diverse, cross-cultural global teams.

 

 

Preferred Qualifications

 

  • Experience navigating internal Colgate-Palmolive procure-to-pay systems (including eBuy, SAP, and OpenText) and the Global Legal Organization's vendor network.

  • Professional background acting as a Technical Business Analyst, including defined experience gathering systems requirements and coordinating User Acceptance Testing (UAT).

  • Experience administering Onit Matter Management software and building automated business intelligence reporting frameworks inside Tableau.

  • Practical familiarity leveraging generative AI platforms or custom workforce automation solutions to optimize daily business administrative tasks.
