The primary role of the Regulatory Affairs Specialist is to plan, support and implement activities necessary to obtain and to maintain regulatory approvals within the country under supervision of the Regulatory Affairs Manager. This position will oversee ongoing regulatory compliance, participate in cross-functional teams to advise on regulatory strategy, and will coordinate departmental organizational activities.


The Regulatory Affairs Specialist helps advise on and approve product labeling, including claims, and analyzes information from government and technical sources that is relevant to Company’s products. The Regulatory Affairs Specialist provides day-to-day regulatory support to cross-functional partners, including but not limited to Product Development, Marketing, Quality Assurance and others, and represents Regulatory Affairs on project teams.


This position is focused on home care and personal care products sold in Canada, including Tom’s of Maine and EltaMD, but also supports oral care categories and products as assigned.


The Regulatory Affairs Analyst is responsible for the following key activities:


  1. Support New Product Innovation and Product Launch
    Help identify submission requirements for new products and line extensions for timely regulatory approvals.  Review and approve product labeling and promotional materials to ensure compliance with all applicable regulations, guidance  and/or market authorizations where applicable. Review raw materials to determine permissibility and to assign appropriate labeling names. Review and approve ingredient lists, recipes and product specifications as required.
  2. Ensure Ongoing Regulatory Compliance
    Assist in ensuring Regulatory compliance of all marketed products in accordance with local regulations, and other applicable legislation. Respond to Health Authority requests and questions on product registrations.


  1. Help Ensure Competitiveness of Company Products (advertising, claims)
    Collaborate with business partners to ensure that product labeling and advertising claims  meet regulatory requirements.  Acquire proficiency in various regulated categories, with emphasis on personal care and home care.  
  2. Monitor Regulatory Environment
    Monitor changes to Regulatory environment (regulations, guidelines, policies, etc.) as directed by manager.  Help identify impact of regulatory changes to Company’s products and help to develop compliance plans as needed.  Provide regulatory or technical information and guidance on product regulations or regulatory initiatives to internal customers (i.e. Marketing, Research & Development, Quality Assurance, Consumer Affairs, etc.).
  3. Efficiency and Effectiveness

    Assist in the development and update of Standard Operating Procedures (SOPs) and/or Best Practices documents as           necessary.  Comply with all applicable local and corporate SOPs. Coordinate general regulatory documentation. Administer   paper and electronic files.  Identify improvements and efficiencies to RA department systems and processes.



Education and Experience:


  • Bachelor’s degree required. A degree in Life Sciences (biology, chemistry, chemical engineering, etc.) is preferred but is not required.
  • 3-5 years of hands-on Regulatory Affairs experience in a Health Canada-regulated industry (drugs, natural health products, medical devices, cosmetics). Knowledge of the Consumer Chemicals and Containers Regulations is a plus.
  • Good understanding of principles, concepts, practices and standards of the Regulatory Affairs job function.
  • Demonstrated ability to conduct Regulatory Affairs activities effectively, efficiently and with moderate supervision.
  • Detail oriented. Good English communication skills (interpersonal, writing and oral). 
  • Critical thinking skills with results orientation.
  • Project coordination and organizational skills.
  • Experience working within a team environment under time pressures.
  • Strong working knowledge of office computer applications (MS Office Suite, Adobe Acrobat, Google, etc.).
